We build AI systems for the jobs your team still does by hand, and we run them for you.

Most manual work in a business comes down to reading documents, checking them against your rules and typing the result into a system. AI handles that kind of work well. We build each system on the tools you already use, your team decides what it handles on its own, and we keep it running every month.

Where AI systems help

Most of the manual work in a business sits in one of these areas. If your team spends hours a week on one, it's worth a look.

  • Sales and quoting

Reads quote requests as they arrive and drafts the quote from your own catalog and price list.

  • Customer service

Answers routine questions like order status from your own records, and passes the rest to the right person.

  • Order entry

Reads purchase orders in any format and enters them in your system as drafts to check.

  • Billing and invoicing

Catches extra work and billable hours in tickets, notes and emails, and drafts the invoice lines.

  • Collections

Sends the payment reminders you'd send yourself and tells you which accounts need a call.

  • Supplier invoices

Matches each bill to its purchase order and flags the ones that don't add up before you pay.

  • Claims and warranty

Builds each claim to the payer's rules and tracks it until the money comes in.

  • Purchasing and inventory

Watches stock levels and drafts reorders before you run out.

  • Scheduling and dispatch

Turns incoming jobs into a draft schedule and keeps customers updated when times change.

  • Documents and compliance

Checks contracts, insurance certificates and permits against your requirements, and tracks what's about to expire.

  • Reporting

Pulls the numbers from your systems into one weekly report that nobody has to build by hand.

  • Admin and data entry

Moves information between systems that don't talk to each other, so nobody types it twice.

How a billing system for extra work runs

This is the kind of system we'd build for a contractor or a service business, where work gets added on the job and the billing depends on someone remembering it.

  1. 01

The extra work gets recorded the way it already does: a signed ticket, a photo, a text to the office, an email.

  2. 02

The system reads each one as it comes in and matches it to the right job and customer.

  3. 03

It checks the work against the original quote or contract to see whether it's covered or extra, and prices the extra at your rates.

  4. 04

It drafts the line item or change order in your accounting system, with the ticket attached as backup.

  5. 05

At the start, someone on your team approves each one. Once it's getting them right, the routine ones go through on their own, and only the unusual ones come to a person.

  6. 06

It follows each one until it's paid, and flags the ones that stall.

  7. 07

Every week you get a list of what was found, what was billed and what's still open.

Your team stays in charge

You decide what it's allowed to do on its own. At the start, nothing goes to a customer, a supplier or a portal until someone on your team approves it, and once it's proven itself, the routine work runs without anyone touching it. The system only touches what you give it, which is usually a forwarding rule from one inbox, a folder you share and an account in your system that you create and can switch off. Every run is logged, so when someone asks why it did something, there's an answer. When it isn't sure about something, it asks a person instead of guessing.

What it means that we run it

We check every system's runs each week and fix what goes wrong. When a customer changes their form, a portal changes its layout or your process changes, we update the system to match. The AI usage costs are included in the monthly fee, so there's no second bill. The custom work you pay for is yours, and if you stop, we hand it over and switch off our access.

It starts with a free audit

We start from the outside, using what's public about your business. Within one business day you get the jobs worth handing to a system, ranked, with a yearly dollar figure on each. If you want the numbers from your own records, we do an inside audit too, once the NDA and access are set up. Then we get on a call to go over it. If there's a system worth building, we price it on that call as a one-time build fee and a monthly fee to run it. Once it's built, we run it.

Built by developers

We're software developers, which is why we can build on your own systems, files and portals instead of a template. Our case studies are software we've shipped for paying clients. We build on Claude through Anthropic's business API, whose terms don't allow your data to be used to train their models. Access goes through accounts you create and can switch off at any time, and passwords never travel by email.See the case studies

Questions we get.

Do we need a software team, or anyone technical?

No. We build it, run it and fix it. Your team uses it where they already work: their inbox, their accounting system and their spreadsheets.

How much does it cost?

A one-time build fee plus a monthly fee to run it. We set both after the audit, once we know the job, because the price depends on how much work the system takes on.

What do you need access to?

Usually a forwarding rule from one inbox, a shared folder and an account in your system that you create for us. We only ask for what the job needs, and you can switch any of it off.

Is our data used to train AI?

No. We build on Claude through Anthropic's business API, and its terms don't allow customer data to be used for training.

What happens when it gets something wrong?

At the start, everything is checked by your team before it goes anywhere, so mistakes get caught. Later, only the unusual items go to a person, and anything it isn't sure about is flagged instead of guessed. We look at every mistake and fix the cause.

Will it work with our software?

If your team can open it, export it or email it, we can usually build on it. That covers QuickBooks, Xero, Sage, Microsoft 365 and Google Workspace. If something can't be reached, the audit will say so.

How long until it's running?

It depends on the job, and we'll tell you on the call after the audit.

Can we stop?

Yes. The custom work you paid for is yours, and if you stop, we hand it over and switch off our access.

Tell us which job takes your team the most hours.

We'll audit it for free and come back within one business day with what a system would do and what it's worth to you each year.
